Summary of Position:
Outsourcing
provides stock option administration services for Corporations who
choose not to resource this critical function in-house.
The Equity Compensation Associate performs full-service stock administration services for assigned Corporate Clients. Services
are provided by using Equity Edge and Stock Plans to maintain stock
plan records, and support all accounting, reporting and associated
compliance requirements. Apply high-level of equity compensation
expertise to proactively manage an assigned base of Corporate Clients,
acting as a Client advocate and partner. Deliver
high quality stock plan administration services to Client base using a
combination of judgment and analysis appropriate to the Client scenario
as well as following defined client-specific and overall departmental
procedures. This includes, but is not limited to:
o Updating
Equity Edge and Stock Plans on a daily basis based upon data updates
received from assigned Clients (e.g. new hires, terminations, etc.),
participant transactions, etc.
o Ensuring
all participant stock plan transactions are correctly processed and
settled in a timely manner (ESPP Purchases, ESPP sales, Option
Exercises, SWAPS, Reloads, Option Grants etc.)
o Surveys and tracking of Disqualifying Dispositions
o Valuation Reporting
o Section 16 Insider Reporting
o Client-specific custom processes (e.g. custom reports, scripts, etc.)
o Monthly balancing of Client plans
o Managing Client inquiries and requests in a timely and professional manner
o Knowledge of data flows between interfacing systems
Product, pricing and contractual knowledge of assigned clients
· Effectively
facilitate and negotiate Client questions/discussions regarding
Outsourcing processes and requirements insuring they meet client needs
while balancing Outsourcing business controls and objectives
· Partner
and assist Outsourcing Analysts and/or new Equity Compensation
Associates who are training to be Equity Compensation Associates as
necessary; provide performance feedback upon request.
· Manage
monthly invoicing requirements for assigned client base, ensuring all
Outsourcing products are correctly accounted for and documented per
contractual commitments.
· Ensure team members are cross-trained on assigned Clients so they can provide quality service when absent from office. Assist team members as needed to provide administrative services to their Clients.
· Build
confidence in clients and business partners by consistently applying
and demonstrating strong business knowledge regarding Outsourcing
policies/processes and critical cross-functional, downstream impacts.
· Demonstrate
and apply knowledge of how the Outsourcing process links to all
functions that touch the Client and their participants, e.g. Sales,
Implementation, Customer Service, Executive Services, etc.
· Participate,
as needed, in product testing and validation using in-depth product
knowledge to identify and document bugs as well as suggest enhancements.
· Equity
Compensation Associates with minimum related job experience, but need
to complete training before taking on clients of their own
· Proficiency with Equity Edge software and/or other related industry software
· Passed CEE exam
· Passed CEP Level 1 within 6 months of hire
- At least 2 years customer service or prior experience in a Financial Services organization
- BS / BSA preferred
